Web Portal Features
The self-service application (app) introduces powerful features providing a digital payslip platform where employees benefit from secure anytime twenty-four-seven access, anywhere via their smartphone app, tablet or pc. The employee app is available to download once their first payslip has been issued via email, and is available via Android or iOS devices. Your employees and managers are provided with access to a General Data Protection Regulation (GDPR) compliant self-service tool kit, payslip library, user-friendly holiday leave management facility, and employer interface. The employer will have a full suite of management reports, and confidence that all their important data is secure with SIMCO.

GDPR Compliance
General Data Protection Register (GDPR), is strongly recommended for businesses to provide a secure self-service system where employees can access the personal information that is stored on them. SIMCO provides a self-service portal and smartphone app providing employees with remote access to payroll information including payslips, contract details, employee leave calendars, and HR documents. This will assist you to work towards GDPR compliance by providing this level of additional security.
24/7 Back up
With SIMCO, you don't need to worry about every backing up. All data from the bureau, access via your PC, or access via the app is synchronised to the cloud as your access to any feature. SIMCO maintains a chronological history of your access, this enables SIMCO to restore data at any time. Friendly Interface
Once an employee opens their app, the home screen interface will show their employment details, holiday leave entitlements, and notifications of payroll documents that have been uploaded, such as their most recent payslip, pension letter, or P11D. The interface is easy to navigate and retrieve the payroll information required. The employer can place letters contracts anything they need directly to the employee and confirm when it has been viewed.
HR Documents
The employer portal allows you to upload and store sensitive HR documents and confidential employee information, such as company handbooks, employment contracts, company letters or privacy policies. The employee APP employees will have instant access to these HR documents all in one convenient place.
Payslip Access 24/7
Payslips are automatically available on the secure employee portal once the payroll is finalised by SIMCO. Employees will receive an email notifying them when their payslips are ready to view or download. Managers can select a date when they want the payslip to be visible on the employee portal. All payslips are presented in an easy-to-understand way without any confusing jargon.
Notifications
Should any notification be issued from the employer a smart alert will be issued to the employee on the self-service portal. Employees can access these notifications on the home screen of the app, keeping them up-to-date with annual leave approvals, recent payslips, edits to contact details, or any payroll and HR documents that have been updated.
Request Leave
With a few clicks employees can request holiday leave on the go with instant access to leave taken and leave remaining. Leave requests are automatically sent through to the employer or HR Manager. Once approved, employees will receive an alert on their employee app and via email with a leave notification approval. Their leave entitlements will be automatically updated on the self-service app.
Payroll Journals
Using API technology, the software used by SIMCO offers full integration with various accounting software systems, permitting them to communicate with each other. This facility eliminates the manual export and import process, automating tedious, repetitive, and time-consuming tasks. SIMCO can also provide you with a manual journal should you prefer. Construction Industry Scheme (CIS)
The Construction Industry Scheme (CIS) is a tax deduction scheme that involves tax being deducted at source from payments that relate to construction works. CIS will apply to payments made by the contractor to a subcontractor.
Contractors who are registered will have twenty-per cent deducted, while those who are un-registered will suffer a thirty-per cent deduction. These deductions are paid by the contractor to HMRC as an advance towards their subcontractor's tax liabilities.
All contractors working in the CIS have to complete and submit a return before the nineteenth of each month, deductions must be advised to HMRC accompanied by payment and deduction certificates issued to your subcontractors(s).

(GDPR)
SIMCO recognises where there are data and communications, there is GDPR. Payroll involves a superabundance of sensitive data which must be strictly guarded and professionally managed, not only for our client's peace of mind but to meet the legal requirements of GDPR. SIMCO has robust policies and procedures in place regarding your data to ensure its security.
SIMCO handle a large amount of sensitive employee information and it is one of the key areas of a business that is protected. The changes to data protection policies place greater emphasis on safeguarding personal employee information managed by us. An employer or business is classified as a data controller as they are responsible for the personal data that their business holds. Where business processes their payroll in-house, they are also classified as a data processor. A business that outsources its payroll processing to a third party such as SIMCO in this case, the business owner would remain the data controller and SIMCO would be the data processor.
Employers are required to provide employees with information as to what happens to their data, how long their information will be stored, and details of any sub-processors or third-party data processors who access and manage their data. Employers can include this in the company handbook or on a data protection policy that is displayed in the office. As part of your employee privacy policy, SIMCO can provide you with ours to complete your legal requirement. Where a contract is not been placed with SIMCO we will issue you an Addendum Data Processor Agreement, in addition to our Terms and Conditions.
GDPR includes a best practice recommendation that, where possible, organisations should be able to provide remote access to a secure self-service system which would provide an individual with direct access to his or her information, SIMCO's portal does just that.
Securely sending payslips to employees?
Employees now have greater rights where they can now request access to the information held on them and have the right to have it rectified and in some circumstances deleted. Employees do not need to give consent for their data to be used as part of payroll processing. The GDPR legislation strongly recommends and encourages data processors to send payslips that are fully encrypted and/or password protected and that are deleted from the server after being sent.
A particular concern for many data controllers and data processors is that a payslip would be accidentally sent to the wrong person. This would be a serious issue if the payslip is not password protected or where the same password is used for all employee payslips. This could be considered a breach of the GDPR legislation.
